How we handle your details
How contact enquiries, security logs and visit statistics are handled.
Who handles your data
AJ&CO Software operates adamjamessoftware.com. For data protection enquiries or to exercise your rights, email accounts@adamjamessoftware.com.
What we collect
The contact form collects your name, email address, project type, budget range and message. Providing these details is voluntary, but a name, email and message are needed to reply. There are no user accounts or tracking cookies.
Our host, Vercel, processes IP addresses to serve the site and keep operational and security logs. The contact form also uses your IP address briefly in server memory to limit abuse. It is not included in the enquiry email.
Purposes and lawful bases
We use enquiries to answer questions and prepare quotes. When you ask about entering a contract yourself, this is necessary to take steps at your request before a contract (UK GDPR Article 6(1)(b)). For enquiries on behalf of an organisation, we rely on legitimate interests in responding to business enquiries (Article 6(1)(f)).
Security and abuse prevention rely on legitimate interests in keeping the service safe. Optional aggregate analytics help us understand and improve the site, also on legitimate interests. You can object using the visit-counting control below. We do not sell your details, add you to a mailing list or use them for advertising.
Service providers and international transfers
Vercel hosts the site and provides analytics and operational logs. Resend delivers contact messages to the Google Workspace mailbox used to reply. When that delivery is accepted, we also send you one plain-text confirmation that does not repeat your name, email, or message. These providers process relevant data to supply their services.
These providers may process data outside the UK, including in the United States. Their published data-processing terms provide for applicable adequacy arrangements or contractual safeguards, including the EU Standard Contractual Clauses with the UK Addendum. Email accounts@adamjamessoftware.com to request information about the safeguards and a copy of the relevant terms.
How long information is kept
Enquiries that do not become a project are deleted within 24 months of the last contact. If a project follows, necessary contract and accounting records are kept for six years after the project ends, or longer where a legal requirement or active dispute requires it. Unnecessary copies are deleted sooner.
The form’s abuse limiter keeps IP-based counters for a 15-minute window in a running server process; expired entries are removed on the next cleanup or when that process stops. A hash of the lowercased email address is kept in server memory for 24 hours so each address receives at most one confirmation in that time, and the form sends only a small number of confirmations each hour. Provider logs and analytics follow the provider’s service retention settings. Contact us for details of the current settings.
Analytics and your choice
Vercel Web Analytics counts page views, selected enquiry-button clicks and successful contact-form submissions. Custom events contain the button destination and position, or the submission event name, never your form answers. Analytics uses request and device information to produce aggregate statistics without tracking cookies or cross-site advertising identifiers.
Choose ‘Don’t count my visit’ below or in the footer to stop future page-view and custom-event collection in this browser. A local preference remembers your choice; clearing browser storage resets it. You can turn counting back on at any time. This does not remove essential hosting or security logs, or counts already sent.
Your rights and complaints
You can request access, correction, erasure or restriction of your personal data, and object to processing based on legitimate interests. You may also request portability where the legal conditions apply. These rights are subject to applicable exceptions. We do not make automated decisions with legal or similarly significant effects about you.
Email accounts@adamjamessoftware.com to make a request. You can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/ whether or not you have contacted us first.
